Front Desk Receptionist/Order Desk   

Target Start Date: September 5, 2017

Time Commitment: Full-time (M-F 8:30am-4:30pm)

Duration: Permanent

Location: 399 Main Street West Grimsby, Ontario

Overview of the Organization:

Bible League Canada is a Christian charitable organization providing Scripture placement and church planter training worldwide so that people prepared by the Holy Spirit will be brought into relationship with Christ and His church. Our work is based on the conviction that the world needs the living word of God more than anything else. We are in need of an Front Desk Receptionist/Order Desk who recognizes and has faithfully responded to God’s call to utilize God-given administrative and interpersonal skills as well as personal attributes for God’s glory and in the service of Bible League Canada's Christian mission.


Reporting to the International Missions Director Canada, this salaried position provides support in three broad areas: (A) Front Desk Receptionist, (B) Resource Sales Order Desk and (C) Administrative support. The incumbent should be comfortable working in a fast paced environment and interacting with ministry partners, suppliers, other BLC teams and donors effectively and diplomatically. Specific responsibilities within the above areas are:     

Front Desk Reception Duties:  (50%)

  • In pursuit of service excellence, ensuring that every person contacting BLC in any manner feels welcomed, valued, and well-served.
  • Greeting people in person, by telephone, and by email and assisting them or directing them to someone who can assist them promptly.
  • Providing correct and complete answers to questions regarding BLC ministry.
  • Receiving donations by telephone.
  • Ensuring each member of the BLC Back Up Reception Team is trained in Service Excellence according to the BLC Service Excellence Training Program and fully prepared to serve on the reception desk when needed.
  • Ensuring all necessary phone and email greetings are set up as needed (absent alerts, phone system automation, holiday greetings, etc.)
  • Responsible for maintaining 100% coverage of the front desk.

Resource Sales Order Desk:  (40%)

  • Process Customer Orders: Receiving resource orders by telephone, mail, website or email and process accordingly.
  • Order Processing: creating invoices in our data management system (iMIS), tracking payments, processing online orders.
  • Coordinate order fulfillment:  execute with accuracy and efficiency the process involved with submitting orders to shipping facility.
  • Maintaining a detailed knowledge of product information for those available for purchase on the BLC webstore; working with Resource Development Manager to respond to customer product inquiries.
  • Collaborate with Resource Development Manager in selecting new products for sale and in product development.

Administrative Support Duties:   (10%)

  • As time allows, complete general administrative tasks assigned by the International Missions Director Canada or Resource Sales Manager, e.g. data entry, targeted mailings, research, etc.
  • Participate in and provide leadership to Team Canada Specialized projects that are related to Reception Duties and or Resource Sales Order Desk.
  • Other administrative duties as requested


Education must include at least a college diploma (undergraduate degree is preferred).


  • Minimum 3 years’ experience as a receptionist or in a related administration position.
  • Experience in a not-for-profit organization is preferred but not essential.

Technical Skills:

  • Intermediate/Advanced Microsoft Office skills in PowerPoint, Word, Outlook.
  • Beginner to advanced knowledge of database system (IMIS)
  • Intermediate/Advanced organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Exceptional attention to detail, with the ability to see the “big picture”.

Interpersonal Skills and Personal Attributes:

  • Knowledge of and a passion for Bible League Canada and its work.
  • Able to multi-task, prioritize and work well in a busy environment.
  • Active listening; able to respond to with excellent telephone manner; inquires from donors/customers/all individuals who contact our office
  • Excellent donor service and interpersonal skills: experience interacting with people from diverse cultures, backgrounds and work styles.
  • Flexible and adaptable to changing conditions, work assignments and teammates.
  • Very reliable, with the ability to take the initiative, problem-solve & implement solutions.
  • A self-starter with the ability to work independently as needed.
  • A dedicated team player: Enjoys working with others in team settings to solve problems and has a proven ability to work collaboratively with all levels of management and staff, inside and outside the organization.
  • Able to handle confidential information.
