Position Description

St. Paul’s Bloor Street is a vibrant Anglican church located in the heart of downtown Toronto. We are looking for a professional, dependable and enthusiastic individual to join our Operations team as the full-time Operations Manager. Reporting to the Executive Director, the Operations Manager will ensure effective operational processes and resources are undertaken, to support the mission and vision of St. Paul’s Bloor Street (SPBS).

RESPONSIBILITIES

The primary duty of the Operations Manager is to commit to the vision, core values and mission of St. Paul’s Bloor Street while performing a range of duties including, but not limited to:

Operations

  • Engages with staff to ensure smooth operations and effective service needs are met.
  • Coordinate and manage materials development with administrative staff.
  • Communicate with fellow staff to understand the needs of the ministries and SPBS as a whole.
  • Responsibility for office operations including but not limited to copiers, phone system network requirements, computers and supplies.
  • Monitor deliverables (eg. service bulletins) and ensure timely completion of projects to meet deadlines.
  • Update, implement and maintain SPBS policies, procedures and form documents.
  • Maintain and order office supplies and inventory.
  • Coordinate weekly and yearly workflow with Operations staff. Information Technology (IT)
  • Implement, maintain and manage IT resources including all hardware, all software licenses and upgrade schedules.
  • Coordinate with IT support on all office equipment including but not limited to copiers, phone system, computers and supplies.
  • Performance maintenance activities (e.g. backups) and troubleshooting issues and repairs.

Human Resources

  • Support the recruitment/hiring process by sourcing candidates and conducting interviews.
  • Assist staff with completing and submitting all Pension & Benefit documents.
  • Perform orientation and onboarding for new hires, including mandatory training and police checks.
  • Maintain Personnel files.
  • Conduct ad-hoc HR projects, such as creating online training modules, and developing job descriptions.
  • Update employee information in ADP Workforce Now. Special Projects
  • Research and develop solutions to projects given by the Executive Director
  • Additional duties include assisting with:
  • Administrative backup in overflow situations only Perform other related duties as required.

KNOWLEDGE, SKILLS AND PERSONAL CHARACTERISTICS

  • Knowledge The Operations Manager must have proficient knowledge in the following areas:
  • human resources processes, office administration and procedures
  • IT systems and network management
  • ability to maintain a high level of accuracy & confidentiality
  • planning and time management skills in multitasking and prioritizing daily workload

Skills

  • The ability to communicate in English is required. Fundamental analytical and conceptual thinking skills. Ability to handle multiple projects and meet deadlines.
  • Rigorous attention to details
  • Ability to evaluate processes, anticipate requirements, uncover areas for improvement and develop and implement solutions.

Proficiency in the use of computer programs including but not limited to:

  • Microsoft Office 365 (Word, Outlook, Excel)
  • Adobe Creative Suite (InDesign, Illustrator, Photoshop)

Personal Characteristics

The Operations Manager will demonstrate competence in the following areas: Relationships: Maintain positive working relationships with others, both internally and externally.

  • Communication: Excellent oral and written communication skills to communicate and collaborate with both technical and non-technical people. Needs Assessment: Anticipate, understand, and respond to the needs of staff, parishioners and other guests to meet or exceed their expectations.
  • Teamwork: Work cooperatively and effectively with others. Cultivate positive relationships to build trust with ministry leads; ability to undertake self-directed tasks when necessary.
  • Organization: Excellent time management skills; attention to detail; the capacity to prioritize by assessing situations to determine urgency; ability to develop a work schedule, set goals, create/implement actions plans and monitor progress towards goals; and ability to make clear, timely decisions.
  • Personal Attributes: ability to handle and maintain confidential issues, be honest, trustworthy, respectful, flexible and demonstrate sound work ethics.  

Availability: Full-time position (37.5 hours/week) available immediately Monday to Friday 9am to 5pm Salary range: $62,000 to $67,500 and full benefits and pension plan.
