Title: National Office and Operations Assistant

Ministry: Athletes in Action (AIA)

Location: Onsite at NRC - Abbotsford, BC

Reports to: Director of Operations

Position type: Permanent (25-40 hours per week) $22 to $24 per hour

Position Overview:

The National Office and Operations Assistant is a solution-oriented individual who will work closely with the AIA National Director and the Executive Leadership Team (ELT) to ensure Operations and the ELT function at their best. They will function in multiple administrative capacities, including data collection and high-level analysis, personal and team administration for the ELT, event coordination, and management of internal systems and processes.  They will work to address functional needs within our ministry, with the ultimate goal of seeing a flourishing leadership and operational that leads to a flourishing staff team and a world transformed by the gospel through sport.

About the Role:

In this role, you will be responsible to achieve the following objectives:

  • Administrative Support - AIA Executive Leadership team can function at maximum capacity
    • Tracking and reporting of expenses, impact metrics (Insights), and donor engagement in accordance with P2C policies and best practices
    • ELT meetings receive full administrative support
    • Additional administrative support for ELT and specifically the National Director as required. Includes managing calendars, hosting Zoom meetings
    • HR job postings
  • Event Planning - Excellent planning so that attendees and sponsors of AIA National Events are eager to return 
    • Event details are anticipated and seamlessly stitched together. Includes NTC, Summit, Grey Cup, Golf Tournament
    • Donors and sponsors receive appropriate recognition and documentation
    • Hands-on support for the planning process and event-day logistics
  • Operational Support  - Internal AIA systems are functioning effectively and efficiently
    • Management of Google groups, staff lists, general emails, and shared drives
    • Management and coordination of shared registration software
    • Support for Zoom-hosted internal and external events
    • Website support (Wordpress) for AIA, GCB, and AIA Clubhouse
    • Managing social media and other marketing functions as needed

Other Responsibilities

  • Executing special operations projects
  • Participate in team activities and meetings
  • Travel to the events you plan
  • Other duties as assigned

Education and Experience: 

  • You have a bachelor’s degree or equivalent
  • You have experience working in a fast-paced setting with competing priorities
  • You embrace a challenge and are able to make changes on the fly
  • You have experience in an Operations setting 
  • You have administrative experience
