Position Description
Coordinator St. Paul’s Bloor Street is a vibrant Anglican church located in the heart of downtown Toronto. We are looking for a professional, dependable and enthusiastic individual to join our Operations team as the Part-time (20-25 hours per week) Front Desk/Volunteer Coordinator. As the friendly greeter at the front desk, this role will provide administrative support for all worship services & ministries. Administrative duties include helping to coordinate teams of volunteers for Sunday during services, assisting with the music department and general support to the ministry team.
Key Functions:
Weekly Services & Ministry Support
- Schedule volunteers for all worship services and other ministries using the Planning Center ensuring all volunteers have materials required.
- Prepare the weekly Personnel Schedule of volunteers.
- Send weekly emails to all service volunteers with readings, communion assignments, etc.
- Back up for producing and preparing clergy books for all services as needed.
- Act as a registrar for courses or events run by the church.
Front Desk Services
- Greet all visitors to St. Paul’s Bloor Street in a professional, warm and welcoming manner, making sure property manager or custodians are notified of potential issues.
- Ensure the front desk is manned at all times.
- Support the Event Coordinator by assisting clients and providing excellent customer service throughout the duration of the rental.
- Answer incoming calls and direct phone inquiries to the appropriate staff member, answer general phone inquiries and relay voice mail from the general mailbox to the appropriate staff member.
- Open and distribute incoming mail and deliveries daily. Ensure outgoing mail is prepared properly and deposit at post office nightly.
- Record donations received by mail and record in Mail Opening record and assist with weekly deposit.
- Help to monitor inventory of office supplies, preparing order lists as needed.
- And other duties as required.
Qualifications:
- Knowledge of volunteer management and the ability to manage and coordinator volunteers with confidence.
- De-escalation abilities
- Proven strong organizational skills including logistics, time management and scheduling.
- Ability to maintain a high level of accuracy & confidentiality.
- Excellent interpersonal, written and oral communications in English and networking skills
- Strong leadership skills with the ability to facilitate and resolve conflict.
- Proactive, energetic team player that’s able to work independently and in a team environment.
- Proven ability to solve problems and provide an innovative approach to projects.
- Computer skills required: Advanced Microsoft Word and Outlook; Proficient in database management and Planning Centre; Knowledge of Adobe Creative Suite an asset; proven ability to learn and use other software applications.
- Willing to submit to a Police background check and comply with the policies of St. Paul’s

Availability: Part-time position (20 to 25 hours/week) available immediately Weekly hours are to be determined but must include Friday 9am to 5pm, and occasional Sunday mornings, Salary range: $20-25/hour.
