Position Description
We are seeking a highly organized and detail-oriented Donor Relations and Financial Administration Specialist to join our team. This pivotal role is responsible for ensuring the efficient processing of donations, accurate financial record-keeping, and maintaining strong relationships with our valued donors for both Canadian and U.S. operations. The ideal candidate will possess a strong understanding of financial administration, donor management systems, and exceptional communication skills.
Key Responsibilities
Donor Engagement and Support
- Manage all donor correspondence, including addressing inquiries, providing updates, and resolving issues promptly and professionally.
- Maintain accurate donor records by handling returned mail and updating profiles within our donor management system.
- Address and resolve any problems related to donor cheques.
- Provide excellent donor service by answering incoming phone calls as needed.
Donation Processing and Batch Management
- Generate and analyze daily reports from donor management system to support all batch processing activities.
- Canadian Operations: Oversee the opening and sorting of Canadian mail (in collaboration with a colleague), accurately total cash and cheques, process Canadian Batches, and process cheques via remote scanner, ensuring verification upon completion.
- U.S. Operations: Execute Remote Deposit Capture for U.S. checks received by mail and process batches for various American Donation Facilitators (e.g., Benevity, Give Lively, Network for Good).
- Assist with U.S. batch processing and associated report pulling as required.
- Manage specific batch types, including US banks, Canada Helps, and Charitable Impact Batches.
- Track and process postdated cheques according to schedule.
Financial Administration and Reporting
- Conduct QBO Income Reconciliation for both Canadian and U.S. financial operations.
- Facilitate EFT payments.
- Manage transaction records by printing PayPal transactions for both Canadian and U.S. activities.
- Oversee the handling of returned cheques for both Canadian and U.S. accounts.
- Update monthly spreadsheets with daily financial reports to ensure accurate and timely data.
Office and Data Management
- Perform meticulous paper filing for donor changes, EFTs, CC PADs, and other essential documentation.
- Provide support with proofreading various outgoing letters and documents to ensure accuracy and professionalism.
Required Skills & Experience
- Proven proficiency in financial reconciliation and transaction processing.
- Demonstrated experience with donor management systems and financial accounting software (QuickBooks Online, PayPal etc.)
- Exceptional organizational skills and an unwavering attention to detail.
- Ability to handle sensitive and confidential donor information with the utmost discretion and integrity.
- Superior communication skills, both written and verbal, with a professional and empathetic approach.
- A collaborative team player with the ability to work effectively with colleagues.
- Familiarity with banking procedures, including cheque processing and Electronic Funds Transfers (EFTs).
- A solid understanding of C4I’s mission, theology, and global context.
- Experience in a nonprofit, church, or ministry communications role is preferred.
