Position Summary

The Administrative Assistant supports the virtual office operations by providing clerical, organizational, and communication assistance to our Executive Director, as well as staff and volunteers when needed. This role helps ensure an effective ministry and create a welcoming environment for all who engage with our organization.

This position requires excellent time management, organizational, communication, computer, and interpersonal skills. The ideal administrator is capable of prioritizing tasks and working at times with minimal supervision. This is a part-time position.

Key Responsibilities

Administrative Support

  • Assist the Core Ministry Team with administrative activities and various tasks
  • Manage emails and MailChimp campaigns
  • Maintain filing systems including databases
  • Respond to inquiries
  • Draft and prepare documents, reports, and correspondence
  • Work closely with the Executive Director
  • Attend team meetings and record minutes

Ministry & Non-Profit Support

  • Support coordination of events, outreach programs, and volunteer initiatives
  • Assist with donor communications and mailings
  • Support Core Ministry Team with special projects

Faith Alignment

  • Committed to personal spiritual growth and actively involved in a Christian faith community
  • Uphold the Christian mission and values of the organization in conduct and communication
  • Participate in prayer, team devotionals, retreats, or ministry gatherings as appropriate

Qualifications

Required:

  • Minimum 2 years experience in an administrative or office position
  • Legally entitled to work in Canada
  • A post-secondary degree or diploma is preferred
  • Fluent in English (written-oral) - second language an asset
  • Strong organizational and communication skills
  • Proficiency in Microsoft Office/Google Workspace
  • Ability to multitask and manage time effectively
  • Professionalism, discretion, and a service-oriented mindset
  • Criminal Record Check including Vulnerable Sector as condition of employment

Preferred:

  • Experience in non-profit or ministry settings
  • Familiarity with donor or CRM databases
  • Event or volunteer coordination experience
  • Understanding of Christian charitable work
  • Experience supporting people with diverse abilities

Work Environment & Benefits

  • Some travel may be required (within GTA)
  • Schedule: Part time, flexible (7-10 hours a week)
  • Salary Range: $20-23/hr based on experience
