Position Description

Camp Kwasind is seeking a reliable, organized, and service-oriented Office Assistant to support administrative operations year-round and take on a full-time role during the summer months.

This position includes the management of the Tuck Shop (Camp Store), acting as a receptionist during the summer months at camp, supporting staff and leadership teams with clerical needs, and assisting with retreat group administration. This role will also involve phone, email and online support for responding to guest/client needs and inquires.

The ideal candidate will be administratively gifted and passionate with financial awareness, sales initiative, value of customer service and basic design skills to help enhance camper and guest experiences while ensuring operational excellence. Overall, this person should be aligned with the values and beliefs of Camp Kwasind/Canadian Baptists of Ontario & Quebec, have a positive and professional attitude, be team oriented, able to be flexible and adaptive in scheduling, a proactive problem solver and passionate about creating a welcoming environment.

  • Comfortable working in a ministry-based setting, with alignment to the mission of Camp Kwasind and the Canadian Baptists of Ontario & Quebec.
  • Strong organizational, administrative and time management skills.
  • Friendly, welcoming, and guest-focused communication style with a “Can Do” attitude.
  • Excellent verbal and written communication abilities.
  • Basic financial literacy (e.g., tracking expenses, sales reporting, budgeting).
  • Comfortable using Microsoft Office, and POS or database systems like Camp Brain and Square.
  • Experience with sales, customer service, or retail operations (an asset).
  • Familiarity with basic design tools (e.g., Canva, Adobe Express) for creating simple print and digital materials.
  • Friendly, professional, and solution-oriented.
  • Ability to multitask and remain calm in a fast-paced camp environment.
  • Must be available for on-site full-time summer work.

RESPONSIBILITY

Year-Round (Part-Time – 20hrs / Week from Sept to May):

  • Assist the Office Manager with routine office tasks including scheduling, data entry, document management, digital filing, printing and communications.
  • Provide administrative support for retreat groups, including inquiries, bookings, contracts, and communication.
  • Assist with invoicing, payment tracking, receipt organization and basic bookkeeping tasks.
  • Help maintain financial records and prepare basic reports for retreat and off-season usage.
  • Assist with camper registration, database updates, and preparing materials for summer programs.
  • Maintain an organized office environment and inventory of administrative supplies.
  • Respond to online inquiries, customer service requests, and booking questions in a timely and professional manner.
  • Ensure tone and communication reflect Camp Kwasind’s values of hospitality, care, and clarity.

Summer Season (Full-Time – June through August):

  • Serve as office receptionist, answering emails, and front-desk communication with parents, guests, and delivery staff.
  • Manage all aspects of the Tuck Shop as directed by the Office Manager, including:
    • Daily operations and staff coordination
    • Train and supervise summer staff assigned to Tuck Shop operations.
    • Sales tracking and inventory management
    • Generating weekly financial reports and managing camper accounts
    • Manage inventory counts and reconciliation
    • Creating appealing product displays and marketing materials for sales promotions
  • Provide administrative support to camp staff and leadership, including:
    • Printing, schedules, camper reports, and daily communications
    • Managing staff documentation and time tracking
    • Assist with mid-season and post-season evaluations, financial summaries, and office wrap-up.

Additional Requirements:

  • Must be willing to work on-site during major retreat events and full-time on-site during summer camp season.
  • Recent Vulnerable Sector Check (or obtain one before start date).

Compensation & Work Schedule

  • Hourly wage based on experience and qualifications ($17.60-$18.50/hour).
  • Part-time during September–May (approximately 16–20 hours/week).
  • Full-time on-site work required during June–August for summer camp operations.
  • Some weekend and occasional evening work required.
  • Recommended to living in Muskoka area
