Position Description

Mission Aviation Fellowship of Canada (MAFC) is a unique Christian ministry that operates over 120 aircraft in 29 countries worldwide.  MAFC transports workers, patients, relief workers, community supplies and medical aid in the world’s most remote regions and places of deepest human need.  Operating for 80 years, MAFC has developed into a worldwide team of specialists; over 450 staff families, including roughly 50 Canadians and their families, serve in both technical and support roles.

Role Overview

This role in our Philanthropy & Communications (PhilComm) team plays a key role in supporting MAFC's mission by delivering exceptional service to donors, missionaries, and internal teams. The official title is "Philanthropy & Communications Support Coordinator" because it is a highly collaborative role working across multiple departments to support donor care, data accuracy, and missionary partnership needs. This position is the first point of contact for inbound and outbound communication, processes and updates donor accounts, and ensures data integrity within our CRM and related systems. The Coordinator also supports the donor stewardship journey through welcome calls, thank-you outreach, recurring gift follow-up, and donor engagement packages.

Qualifications and Experience:

  • A minimum of 3 years of experience in a non-profit setting, with a focus on donor services, engagement, stewardship, and related administrative support.
  • Strong computer skills (Microsoft Office, online forms, portals and data bases).
  • Proficiency in CRM systems (Salesforce preferred).
  • Experience with project management tools (such as Asana) is an asset.

Detailed Description - Philanthropy & Communications Support Coordinator

Donor Care

  • Manages inbound and outbound donor communication— including 1st Call phone support, info@maf.ca inquiries, webform follow-ups—and ensures all interactions are accurately logged in Salesforce.
  • Delivers meaningful donor stewardship, including welcome packages, first gift and recurring gift calls, thank-you cards, and memorial acknowledgments.
  • Coordinates fulfillment of donor materials, including prayer cards, seasonal cards, and special program mailings.
  • Supports Credit Card/PAD decline process which includes updating donor records and completing outbound follow-up calls as needed.

Operations

  • Provides administrative and logistical support across departments, assisting with projects, campaigns, Candidate Orientation preparations, and coordinating general  mailings, event materials, and project-based fulfillment needs.
  • Coordinates all Missionary Partnership (MP) communications and materials, including newsletter distribution, contact list updates, MP-related mailings, shipments, and special requests.
  • Manages inventory for all PhilComm departments, ensuring print materials, event resources, and donor-facing collateral are tracked, restocked, and available as needed.
  • Supports the prayer ministry by preparing and sending the monthly prayer email to subscribers.

Data Management

  • Maintains accurate donor and account records in CRM, including new account /contact setups, MP Change Logs, payment/account updates, and ongoing data integrity tasks.
  • Manages donation activity in CRM, including setting up new single/recurring gifts, processing cancellations, updating payment methods or amounts.
