Work Location: Remote
Remuneration: Volunteer or Support-Based (Personal ministry support raising permitted)
Reports to: Executive Director
Time Commitment: Minimum 50% (20+ hours/week); availability during Central Time (CST) for 3–4 hours most weekdays

We are seeking a high-trust, strategic-minded Executive Assistant to serve as a stabilizing force at the center of our organization.

The Position:

The Executive Assistant (EA) is a "right-hand" role designed to reduce friction and increase clarity for organizational leadership. This is not merely a task-oriented role; it demands executive function, situational awareness, and the ability to integrate routine administrative tasks into the broader mission. You will be the glue that ensures commitments, communication, and compliance are handled with excellence, enabling leadership to focus on vision and kingdom impact.

Key Responsibilities:

1. Executive Support & Operational Continuity

  • Serve as a trusted operational partner to the Executive Director.
  • Track tasks, commitments, and deadlines across multiple initiatives.
  • Anticipate needs and surface potential issues before they become problems.
  • Approach clerical tasks with a strategic mindset, understanding their impact on mission effectiveness.

2. Communication Management

  • External: Draft and manage professional correspondence with donors and partners, using warm, context-appropriate language (specifically for North American contexts).
  • Internal: Coordinate intra-organizational communication to ensure clarity around decisions and prevent "dropped handoffs."

3. Digital Competence & Documentation

  • Maintain high fluency in Microsoft Office (Word, Excel, PowerPoint) and design tools like Canva.
  • Create and organize internal records, shared files, and board materials to ensure they are current and reliable.

4. Board of Directors Support & Governance

  • Assist with board meeting preparation, documentation, and follow-up.
  • Maintain official records, minutes and resolutions; track compliance and board actions.

5. Compliance & Project Coordination

  • Support financial reporting and governmental filings by tracking deadlines and maintaining orderly documentation.
  • Coordinate timelines and deliverables for specific initiatives and projects.

  • Technical & Professional Skills
  • Command of English: Exceptional written communication skills with the ability to adapt tone.
  • Digital Proficiency: High comfort level with digital tools and document creation.
  • Strategic Thinking: Ability to hold both minute details and the "big picture" simultaneously.
  • Trustworthiness: Absolute discretion with sensitive or confidential information.

  • Highly organized, self-directed, and reliable in a remote environment.
  • Comfortable with ambiguity and shifting priorities.
  • A servant’s heart: Willingness to perform routine tasks without resentment.

Who This Role Is Not For:

  • Those who require constant direction or close supervision.
  • Individuals who prefer narrowly defined tasks with no ambiguity.
  • Those who view administrative or clerical work as "beneath" them or merely transactional.
  • Individuals who struggle to prioritize when multiple tasks feel urgent.

What Success Looks Like:

Success in this role means leadership experiences significantly reduced "administrative drag." Projects move forward without bottlenecks, records are dependable, and the Executive Director is free to focus on high-level vision and relationship building.

Compensation:

This is a voluntary position. However, individuals may raise personal ministry support to cover their time and expenses. Katalyst provides donor receipting (US/Canada) and fundraising coaching/support systems.
