Why This Role Matters
The Operations Coordinator provides hands-on coordination and administrative support for events, travel, and cross-functional initiatives within Opportunity International Canada. This role is part of the Strategic Operations team but supports initiatives across the organization by coordinating approved logistics, maintaining systems, and ensuring operational follow-through.
What Success Looks Like (6-12 Months)
By the 6–12 month mark, success in this role looks like:
- Events run smoothly and confidently, with clear project plans, accurate registrations, well-coordinated vendors, and minimal last-minute scrambling
- Leaders and event owners trust you. They know details are handled, timelines are tracked, and nothing is slipping through the cracks
- Operational systems are cleaner and easier to use, with improved templates, consistent documentation, and well-maintained Monday.com project plans
- You are a calm, capable force behind the scenes, anticipating needs, solving problems, and keeping things moving forward
- You bring order to complexity, helping the OIC focus more energy on impact and less on logistics
What You’ll Do
Event Coordination
Working with Event Lead, provide coordination and administrative support for key annual Philanthropy and Business Development events including but not limited to Golf Tournaments, Luncheons, President’s Circle Events, Workshops/Roundtables, and International Visitors Tours.
- Sourcing estimates from and booking venues
- Coordinating with vendors including A/V and catering
- Creating events and fees in RE NXT
- Managing event project plan in Monday.com
- Managing event registration webpage, providing final registration list to Event Lead
- Developing an Event Flow
- Supporting sponsor engagement
- Supporting marketing needs, including supplies and materials
- Coordinating staff and volunteer roles
- Supporting invoicing and expense tracking in coordination with Finance/Admin
- Coordinating travel and accommodation arrangements related
- Occasional travel to support key events as required
Insight Trip Logistics
Provides operational support for Insight Trips including:
- Creating events and fees in RE NXT
- Invoicing registrants through Stripe and storing invoices in SharePoint
- Booking flights and accommodations
- Liaising with venues on A/V or catering requirements
- Booking restaurants and other arrangements as required
- Organizational Effectiveness
- Assist with maintenance and streamlining of project plans in Monday.com.
- Assist with maintaining operational documentation and templates
- Support donor engagement initiatives including surveys and prospecting research
Administrative & Logistical Support
- Coordinate travel bookings for staff and leadership as required
- Support logistical planning for meetings and retreats (materials, bookings, schedules)
- Assist with vendor coordination and invoice processing
- Monitor general inbox and respond to inquiries in a timely manner
- Support ad hoc operational tasks as assigned
- Support for phone line answering
- Support gift data entry
Working Conditions
- Remote work environment with minimal day-to-day supervision
- Fast-paced, cross-functional team with competing priorities
- Flexible hours, including occasional evenings and weekends
- Travel nationally 10% of the year.
About You
- 1 to 3 years of experience and success with event coordination, administrative operations, or project coordination; or equivalent combination of education and experience
- Strong organizational and follow-through skills
- Experience with or willingness to learn, but not limited to:
- Monday.com (or similar project management tools)
- WordPress
- Microsoft Teams and SharePoint
- CRM systems (Raiser’s Edge experience an asset)
- Detail-oriented, reliable, and proactive
- Comfortable working in a mostly remote environment
- Vulnerable Background Check will be required
- Annoyingly great at administration
