Position Description

Reports to: Communications and Development Manager

Hours: 30 - 37.5 hours/week (negotiable at time of hiring; 37.5 preferred), between the hours of 8 am and 4:30 pm weekdays; temporary position through to September 2027

Start Date: As soon as a suitable candidate is available

Compensation: salary ranges from $50K-$66K yearly (based on full time hours) with starting salary between $50-55K, plus group benefits, paid vacation, and employer RRSP contributions

About SALTS and Our Mission:

The Sail and Life Training Society (SALTS) is a non-denominational Christian organization that provides youth mentorship on tall ships. Each year, hundreds of young people (ages 13-23) receive “sail and life training” aboard one of our two schooners. SALTS Board, staff and crew members are deeply committed to this mission in its entirety: “To create a safe and inclusive environment where young people can be themselves and grow personally, spiritually, and relationally through sail training in a supportive Christian-based community." Work Environment:

The work location is the SALTS Office, 451 Herald St, Victoria BC with optional work from home 1-2 days/week allowed as per the work-from-home policy in the Shoreside Policy Manual. Work hours would be conducted between 8:00-4:30, Monday to Friday with occasional evening/weekend work or travel.

1) PURPOSE

The Communications and Admin Coordinator will implement strategies to support our communications and fundraising efforts.

2) DUTIES AND RESPONSIBILITIES

Communication:

  • Collaborate with the Communications and Development Manager and other team members to develop and execute an annual communications/promotion plan to ensure all sail training programs are full and that our fundraising goals are supported.
  • Represent and communicate our Christian mission to the public with accuracy and passion.
  • Support a cohesive and positive brand identity through content creation/editing.
  • Manage and enhance our social media presence and marketing (including YB Tracking boarding day updates) in line with the overall communications strategy. Track our exposure and advertising performance.
  • Develop content for brochures, documents, publications, advertisements, website, etc. Compile submissions, write articles, and design layout for the Saltings E-newsletter.
  • Manage photographs and video resources, quotes/endorsements, stories, blogs.
  • Assist with and attend events (e.g. trade fairs, ship tours, receptions, celebrations, etc.) to build program awareness and community/stakeholder connection; help coordinate the work of volunteers at these events.
  • Take photos and greet the ships when they arrive back.
  • Keep current with technology, innovative marketing techniques, communications trends.
  • Develop cross-promotions with community partners with approval from the supervisor.
  • Monitor and provide a timely response to inquiries via social media.

Administration:

  • Order and organize office supplies, stock kitchen and cleaning supplies.
  • Receive, open, sort, stamp, and send mail (letters and parcels), answer phones for all misc. calls not triaged in the phone tree, manage phone tree, greet office guests (reception desk).
  • Assist with system improvement and digital transformation as it affects communication, merchandise, and/or fundraising processes.
  • Respond to corporate emails as assigned.
  • Assist with SALTS promotional merchandise (for example, distribution, restocking, and/or new product design).
  • Complete errands by vehicle; this may include picking up and dropping off supplies/purchases for our office, shop, or schooners.

Other Duties:

  • Manage programs and activities and represent SALTS in a way that aligns with the SALTS Statement of Faith and Ethics and our unique Christian mission, which are entrenched within the Constitution of SALTS.
  • Ensure all initiatives are based on and reflect the stated values of the Society.
  • Provide responsible financial stewardship of the Society’s resources.
  • Work as part of a collaborative team to achieve stated goals.
  • Other duties as requested by the supervisor or Executive Director.
  • Willing to participate occasionally in SALTS sail training programs (4-5 days at sea) to enable accurate representation of those programs.
  • Participate in and take turns leading Christian devotions and prayer with staff/crew.
  • Participate in meetings, discussions and decisions related to the mission, vision, strategic plans, and management of the organization if/as requested.

3) APPLICABLE POLICIES

  • Shoreside Policy Manual and official policy documents (available on the shared computer drive).
  • Written agreement with the SALTS Statement of Faith and Ethics whenever requested.
  • Criminal record check clearance must be provided when requested.
  • Must be legally entitled to work in Canada.

4) MINIMUM QUALIFICATIONS REQUIRED:

a) EXPERIENCE AND EDUCATION

  • Post-secondary education with at least an undergraduate degree preferred, ideally with emphasis in social sciences, marketing, business, communication, public relations, or journalism.
  • Demonstrated excellent oral and written communication skills.
  • Event management experience is an asset.
  • Past SALTS program experience is an asset (not a requirement).
  • A driver’s license is required.

b) SKILLS AND PERSONAL CHARACTERISTICS

  • Proven track record of writing/editing promotional materials.
  • Intermediate proficiency with Microsoft office suite and desktop publishing software.
  • An ability to think strategically and develop effective communication and marketing plans (the right messages through the right media to the right markets at the right moments).
  • Wholehearted agreement with a Christian statement of faith and ethics, which will be reviewed during the hiring process (see details of our No Discrimination policy below).
  • Resourceful, motivated, and energetic.
  • Organized and efficient.
  • Personable.
  • High level of computer literacy, eagerness to learn, ability to seek out and find resources to enable that learning.
  • Ability to work with staff and clients in a supportive, respectful and caring manner.
  • Ability to handle stress and emergencies in a calm, effective manner.
  • Ability to prioritize.
  • Ability to work with little supervision and collaborate in a team setting.
  • Must support and uphold the values of SALTS.
  • Ability to model acceptable ethical standards, personally & professionally.
