Position Description

WestVillage Church (WVC) is a gospel-believing church that gathers on Sundays in Westboro, Ottawa. We are a diverse group of believers who come together with a shared mission and desire to share the good news of Jesus with those we work with, live near, and interact with each day.

POSITION OBJECTIVES

We are looking for a Church Administrator who views administration as a vital ministry of support and connection. Your primary objective is to be a "key enabler" for our growing church body—removing administrative friction so that our elders, staff, ministry leads, and members can be effective disciplers. You will serve as a central hub, connecting the body to ensure we operate with unity and stewarding God’s resources faithfully. More than managing systems, you are equipping the saints for the work of ministry by providing the structural support and communication needed for a healthy, growing church.

REQUIREMENTS

  • Leadership Qualifications: Meet the requirements for a Deacon outlined in 1 Tim 3:8-13 (including women serving as deacons per WVC's interpretation of 1 Tim 3:11). Following the example of Jesus, the Model Servant (Mark 10:42-45), this role focuses on service, administration, and preserving unity.
  • Theological Alignment: Agree with the Associated Gospel Churches (AGC) of Canada Statement of Faith and related policies.
  • Equipping Heart: Demonstrated ability in organizing systems, particularly as it relates to empowering others to use their spiritual gifts. 1 of 2
  • Team Leadership: Proven experience working within diverse teams; a high capacity for coordination, collaboration and solving problems as they arise while maintaining team cohesion and morale.
  • Communication: Able to communicate with clarity and warmth across various platforms; a proactive communicator who translates complex needs into simple, actionable information.
  • Competency & Experience: Proficiency in Planning Center, QuickBooks, Plooto and G-Suite. Proven experience in administration/operations, preferably in a ministry or non-profit context.

RESPONSIBILITIES

Equipping Ministry Teams

  • Communication Hub: Facilitate clear and timely communication across all ministries to ensure the church body remains unified and informed of opportunities to serve and grow.
  • Resource Enablement: Partner with ministry leads to ensure they have the tools and space to lead effectively.
  • Volunteer Empowerment: Streamline the onboarding process for new ministry servants, ensuring they are well-trained, screened (Plan to Protect), and integrated quickly into the body.

Connecting the Church Body

  • Relational Coordination: Act as a primary contact for the congregation with a gracious and relational tone.
  • Corporate Communication: Support a culture of accountability and transparency by keeping the congregation informed of leadership decisions, financial health, and church updates.
  • Event & Calendar Harmony: Manage the ministry calendar to ensure gatherings complement one another.

Operational and Financial Stewardship

  • Operations: Manage daily office operations, supplier relationships, and rental agreements as a "good neighbour and partner."
  • Finances: Work with the Treasurer and Finance team to manage payables (Plooto), QuickBooks, payroll (ADP) and assist in the budget process. Ensuring that the church’s resources are handled with the highest integrity and prepared for annual audits.
  • HR Support: Support the staff by managing work schedules, vacation tracking, and AGC benefits, ensuring our team feels cared for and supported in their roles.
  • Governance Support: Assist the Board and Elders in maintaining corporate records, by-laws, and policy compliance, ensuring WVC is a healthy legal and spiritual entity.
