Position Description
Knox Presbyterian Church is a vibrant, Christian community church serving Oakville from two campuses – one in the downtown core of Oakville and the other in Bronte. Knox Oakville is looking for a part-time Financial Administrator (FA) to process, record and manage the church’s financial transactions, ensuring accuracy in financial recording and supporting the overall financial health of the church and managing payroll. As part of the staff team, supporting the Minister, Office of the Treasurer and the Church congregation, this is a wonderful part-time opportunity with a great team and congregation!
Overview:
This part-time role (20 hours per week), reports to the Operations Cluster Coach, and the successful incumbent will work from our downtown Oakville campus. The Bookkeeper’s primary responsibility is to ensure that financial information is completed accurately, timely and with supporting documentation that allows the accounting system (outsourced at present), payroll system and Churchtrac database to support effective reporting and compliance. The FA must be a self-starter, highly organized, proactive, a good communicator with a varied set of skills. The FA must also be a someone who aligns with the values of the church and be a follower of Jesus Christ.
Job Responsibilities
Accounting:
- Create and update spreadsheets supporting accounting, payroll and compliance
- Manage accounts payable invoice tracking from receipt through approval to payment.
- Review and process account payable and corporate credit card reimbursements
- Compile the annual budget and monitor actual to budget results including Cluster cost center budgets
- Develop and maintain an effective electronic system of maintaining records for invoice, credit card, tax payments leases, rental agreements and other key supporting accounting documentation
- Track liabilities for benefit and insurance programs
- Identify and address account discrepancies
- Participate in payroll process by checking monthly and annual payroll entries to accounting records, government, and Presbyterian Church of Canada remittances including reconciling T4 return
- Other accounting responsibilities which include:
- reconciling bank accounts,
- possibly entering transactions into Quicken Books (Church financial system)
- Assist with an assessment of whether to bring some or all of the outsourced accounting activities “back to the Church”
- preparing the monthly financial reports,
- providing financial reports to the Presbyterian Church in head office,
- preparing HST reports,
- reviewing financial information with Office of the Treasurer.
- Run reports from Quicken Books and distribute financial information to Treasurer/Resource Team, Cluster Coaches/Ministry teams within Knox, as required.
Financial:
- Banking – become the bank administrator, setting up and releasing electronic payments, preparing, reconciling and completing bank deposits.
- Using Churchtrac, key in summary of weekly giving.
- Being the ‘on-site’ financial contact within the Church Office.
- Support the Knox approver with disputes with invoices, as required.
Payroll:
- Be part of the assessment of bringing payroll back ‘in house’ from Wagepoint to Ceridian or ADP.
- Review payroll entries to ensure they are correctly input into accounting system.
- Accurately perform quarterly payroll functions as follows: prepare Workplace Safety & Insurance Board Reports, prepare pension remittances, review payroll with Treasurer.
Database Support:
- Maintain database of names and addresses of members and adherents of Knox Church and maintain Churchtrac, or equivalent database/tracking system software.
- Manage the contract and key relationships with Churchtrac. Ensure database support requirements remain within/below budgeted costs.
- Input (Add/Delete/Update) data as required
- Create and run database reports as required by Ministers, Treasurer, Cluster Coaches, Elders, Ministry teams.
- Provide analysis and recommendation as to options for amalgamating the Envelope Administration volunteer role with the FA role.
Annual Responsibilities:
- Prepare year-end Workplace Safety & Insurance Board return
- Assist in the preparation of the Annual Report
- Work with Audit Firm on the year end client information requirements
- Provide year-end reporting to the Presbyterian Church in Canada head office.
Other:
- Manage Good Samaritan Fund disbursements as required/requested by the Minister.
- Provide support to the Office of The Treasurer by receiving memorial donations, recording donations in Memorial trust logbook, issuing receipts, and cards to families, and making bank deposits.
- Maintain confidentiality of information by adhering to legal and ethical standards.
Qualifications & Skills
- Follower of Jesus Christ and aligns with the faith community of Knox Oakville
- 3-4 years of job-related experience
- College diploma or bachelor’s degree in bookkeeping or accounting or related field
- Proficient in: Microsoft Office Products (Windows, Outlook, Word, PowerPoint, Excel), Apple, Quickbooks

Remuneration:
The hourly rate range for this role is $22 – $27 per hour. Hourly rate will be based on education, experience, and knowledge.
