Why This Role Matters

As the Single Gifts Specialist, you will be supporting the execution of Hope and Healing International’s single gift direct response and legacy giving programs. This role is responsible for coordinating direct mail and related fundraising activity across print, tele-fundraising, and radio channels, ensuring campaigns are delivered on time, on budget, and in alignment with brand and fundraising best practices.

The Single Gifts Specialist plays a key collaborative role in campaign execution, workflow management, donor list coordination, proofing, vendor liaison, data and reporting support, and stewardship execution. The role also supports legacy fundraising through direct mail and stewardship coordination, inquiry tracking, donor communications, and the administration of legacy marketing activity.

Employment status: Permanent Full-Time (new position)
Salary range: $59,000 – $70,000 per year

What You’ll Do

As the Single Gifts Specialist, you will support the organization’s mission by coordinating key fundraising activities, including:

1) Single Gift direct mail campaign coordination (55%)

  • Coordinate the execution of single gift direct mail campaigns from briefing through creative development, production, mail-out, and wrap-up.
  • Execute and monitor campaign workback schedules, ensuring deadlines, approvals, and handoffs are met in tandem with the production manager.
  • Manage proofing and quality assurance for print assets.
  • Track campaign quantities, schedules, versions, and final files to ensure accurate execution.

2) Annual giving program support (10%)

  • Support the Manager in delivering the annual single gift plan through strong project coordination and timely follow-through.
  • Prepare campaign materials and administrative support for telemarketing, and other integrated donor activities as needed.
  • Help maintain campaign calendars, production records, and internal process documentation.
  • Coordinate stewardship mailings and donor communications tied to single gift campaigns.

3) Legacy direct response coordination (10%)

  • Coordinate legacy direct mail and related stewardship activity, including production schedules, materials, and follow-up processes.
  • Help implement legacy marketing initiatives across direct mail, email, and other channels as assigned.
  • Track legacy inquiries, responses, and next steps, ensuring timely handoff where appropriate.
  • Maintain legacy campaign records, response tracking, and supporting materials.
  • Assist in preparing legacy donor communications, stewardship mailings, and marketing collateral.

4) Data, reporting, and administration (15%)

  • Support list pulls, segmentation requests, and donor data updates in coordination with shared services teams.
  • Maintain accurate campaign coding, file naming, documentation, and version control.
  • Support the manager as required on regular campaign status updates and post-campaign reports, including counts, revenue, response, and other key indicators.
  • Track invoices and campaign expenses, participating alongside the manager with budget reconciliation.
  • Monitor inventory levels for emergency direct mail materials and reorder supplies as needed.
  • Identify and escalate data, process, or production issues quickly.

5) Cross-functional collaboration (10%)

  • Serve as a professional and responsive point of contact for donor inquiries related to annual giving and legacy mailings.
  • Coordinate with Donor Relations, Donor Services and Creative Services teams to support a strong donor experience.
  • Build effective working relationships across departments and with external partners.
  • Contribute to continuous improvement by identifying ways to strengthen campaign processes, quality control, and donor communications.
  • Perform other tasks as assigned by Single Gift  Manager

Our Ideal Candidate Will Have

Education & Experience

  • Post-secondary education in fundraising, marketing, communications, business, or a related field, or an equivalent combination of education and experience.
  • 1–3 years of relevant experience in annual giving, direct mail, fundraising coordination, or direct response marketing.

Fundraising & Marketing

  • Experience coordinating fundraising or marketing campaigns with multiple deadlines and stakeholders.
  • Experience supporting direct mail production, donor communications, or integrated fundraising campaigns in a charitable setting preferred.
  • Exposure to legacy or planned giving marketing/stewardship is an asset.

Communication & Single Gift Skills

  • Strong written communication skills and comfort reviewing donor-facing copy and production materials.
  • Good analytical ability and comfort working with campaign data, reports, and spreadsheets.
  • Strong interpersonal skills and a collaborative working style.
  • Sound judgment, follow-through, and problem-solving ability.
  • Commitment to accuracy, donor care, and quality execution

Organization & Work Management

  • Strong project coordination and organizational skills, with excellent attention to detail.
  • Ability to manage multiple deadlines and keep projects moving in a structured way.
  • Wired for execution, with a natural sense of urgency that helps keep campaigns moving accurately, efficiently, and on time.
  • Reliable, self-motivated, and able to work both independently and collaboratively.
  • Demonstrated initiative and flexibility in adapting to changing priorities.

Technical Skills

  • Proficiency in Microsoft Office, especially Excel and Word.
  • Familiarity with donor databases and fundraising platforms.
  • Experience with mail merge, reporting, and campaign coding processes is an asset.

Working conditions and other requirements:

  • Standard office environment when working on-site.
  • Hybrid, working in the office 3 days per week
  • Must be fully committed to ensure that Hope and Healing International is a child/adult-at-risk safe organization.

  • Must be eligible to work in Canada.
