Position Description
Office Administrator (Part-Time, 15 Hours/Week)
The Office Administrator plays a vital role in supporting the mission and ministry of the church through effective administration, communication, and coordination. Working closely with pastors, staff, and volunteers, this position helps ensure that the church's ministries, events, and day-to-day operations run smoothly and effectively. Through thoughtful organization and attentive support, the Office Administrator helps foster a church environment where ministries flourish, volunteers are equipped, and members are informed, connected, and built up in Jesus Christ.

Primary Responsibilities
Administrative Operations
- Oversee ongoing administrative tasks that support the church’s ministries
- Provide organizational support to pastors, staff, and ministry leaders
- Participate in weekly staff meetings and monthly staff development meetings
Communications & Congregational Engagement
- Manage church communications, including newsletters, website updates, and volunteer communications
- Respond to and triage inquiries from congregants and newcomers
- Support volunteer scheduling and ministry coordination through the church management platform (ie. Elvanto)
Sunday & Ministry Support
- Act as staff liaison to the Connections and Sunday Operations Coordinators
- Provide an active presence and participation in Sunday morning set-up
- Coordinate hospitality and Sunday ministry supplies as needed
Projects, Events & Administration
- Help coordinate church events, seasonal ministry initiatives, and special projects
- Assist with expense tracking, reimbursements, and basic financial administration
- Maintain venue rental agreements and related administrative processes
Qualifications
- Is a member in good standing of a church
- Demonstrate a growing and vibrant faith in Jesus Christ
- Embrace The Vine's vision, values, and theological commitments
- Enjoy serving others through administration, organization, and attention to detail
- Is highly organized and able to manage multiple projects and deadlines
- Communicate clearly and professionally, both verbally and in writing
- Take initiative while also working collaboratively within a team environment
- Is comfortable learning and using digital tools and administrative systems
The following would be considered assets:
- Previous experience coordinating, supporting, or communicating with volunteers
- Previous administrative, office management, or project coordination experience
- Proficiency with digital design and communication tools
Position Details
- Part-time (15 hours per week)
- Reports to the Associate Pastor
- Position is primarily remote, with required in-person participation on Sundays and attendance at occasional meetings, events, and ministry activities (Toronto, ON)

Evaluation
After 3 months, the employee will undergo a review by the Associate Pastor. As part of this review, the job description will be reviewed, altered, and given clarity as needed.
Salary and Benefits
Hours and salary are negotiable and will be commensurate with experience. Two weeks paid vacation will be offered. No other benefits will be offered for this position at this time.
