Location: 940 Elmhurst Road, Winnipeg, MB

Department: Student Ministries

Job Type: Part-Time (15 hours / week)

Schedule:

  • Tuesday: 9:00am - 4:00pm
  • Thursday: 3:00pm - 7:00pm and 10:00pm - 11:00pm
  • Various Youth Nights throughout the year

Job Summary:

The Family Ministries Administrative Assistant supports the efficient day-to-day

operations of the Family Ministries Pastor, and contributes to the success of

Youth and Young Adult environments. This role involves providing administrative

support, coordinating ministry programming, and building positive relationships

with students, volunteers, and families.

The ideal candidate is highly organized, proactive, adaptable, and passionate

about seeing young people know Jesus and grow in their faith.

Primary Duties (including but not limited to):

Programming:

  • Attend weekly TLR (The Living Room) programming meetings with the Family Ministries Pastor and the team
  • Plan and coordinate regular TLR evenings, including setup, hosting, games, notes, slides and graphics, sermon illustrations and props, and tear down.
  • Plan and coordinate TLR worship Nights
  • Plan and Prepare for Youth Nights, ensuring volunteers, supplies, spaces,and resources are ready
  • Assist with creating welcoming, engaging, and well-organized environments for students and volunteers
  • Support the Family Ministries Pastor with various ministry -related projects and initiatives as needed.

Administration:

  • Input, maintain, and ensure data integrity within ministry systems
  • Maintain day-to-day operations and organize ministry spaces to ensure
  • that Student Ministries teams are fully equipped for success
  • Coordinate and oversee volunteer appreciation initiatives
  • Assist with volunteer management and communication
  • Prepare and send weekly emails and ministry communications
  • Manage the coffee cart survey and related follow-up
  • Order, organize, and maintain inventory of coffee cart supplies
  • Set up the coffee cart and other ministry resources to ensure volunteer teams are equipped and prepared
  • Develop and maintain efficient administrative systems and processes
  • Provide general administrative support to the Family Ministries pastor as required

Knowledge, Skills and Experience valued and required:

  • Have prior experience with administration and organization
  • Work effectively and collaboratively as part of a team
  • Have experience leading and supporting teams and volunteers
  • Demonstrate strong administrative, organization, and communication skills
  • Be able to organize, prioritize, and execute a wide variety of tasks effectively
  • Be adaptable and able to go with the flow while also bringing order, structure, and consistency when needed
  • Be proactive and anticipate, understand and respond to the needs of the Family Ministries Pastor and ministry team
  • Have a passion for efficient systems and the ability to create, improve, and maintain them
  • Have strong proof reading and attention-to-detail skills
  • Demonstrate excellent verbal and written communication
  • Have a genuine passion for seeing young people know Jesus and grow in their faith
  • Demonstrate excellent time-management and follow-through
  • Have a servant-hearted approach and regularly ask, “How can I help?”
  • Bring an optimistic, positive, and can-do attitude to their work, not prone to gossip.
