Position Description
About Newmarket Christian Academy (NCA)
Newmarket Christian Academy is a growing private elementary school dedicated to cultivating academic excellence, Christ-centered character, and servant leadership in all students. We are seeking a reliable, detail-oriented, and mission-aligned Office Administrator who will serve as the welcoming face and operational hub of the school.
The Role
As the Office Administrator, you will be the first point of contact for families, visitors, and staff setting the tone for a positive, professional, and faith-centred experience. This is a fast-paced, highly visible position requiring exceptional organizational skills, warmth, discretion, and initiative.
Key Responsibilities
1- Reception & Guest Services
- Greet and welcome students, families, and visitors with warmth and professionalism
- Respond to phone calls, emails, and in-person inquiries, triaging messages as needed
- Monitor building access and maintain safety protocols for visitors
- Maintain a tidy, well-stocked reception area and organize visible spaces where school is conducted and where families may need to access
2- Administrative Operations
- Maintain student and family records and ensure accurate documentation
- Manage school databases, calendars, and communications
- Coordinate internal and family-facing events, PD days, and school schedules
- Prepare purchase orders, track expenses, and liaise with the bookkeeper
- Create weekly email communications and support internal staff memos
- Maintain school supplies, organize inventory, and track orders
3- School Culture & Community Support
- Support staff onboarding and morale with team-building efforts
- Foster a culture of Christian service and warmth within the front office
- Represent the school professionally and faithfully in all communications
- Uphold confidentiality, integrity, and a Christ-like attitude at all times
4- Additional Duties (based on school needs)
- Assist with website updates, social media posting, and newsletter formatting
- Support admissions inquiries and help coordinate enrolment-related paperwork
- Provide scheduling support to the Principal and Education Committee
- Coordinate substitute teacher scheduling and emergency call-outs
- Prepare print materials for school events, chapel, and newsletters
Key Qualifications
- 2+ years of office administration experience (preferably in a school setting)
- Excellent verbal, written, and digital communication skills
- Proficiency with Google Workspace (Docs, Sheets, Calendar, Gmail), MS Office, and basic database tools
- Strong organization, time management, and multitasking abilities
- Provide affirmation of agreement with NCA’s basis and Statement of Faith
- Agree to further NCA’s purposes as established in its constating documents
- Familiarity with child-centered environments and professional discretion around sensitive matters
- Comfortable working independently and taking initiative in a dynamic school setting
Work Schedule
- Full-Time: Monday to Friday, 7:45 AM – 3:45 PM during the academic year (44 weeks)
- Holiday Periods: Reduced hours during March Break and Christmas (avg. 5 hrs/week)
- Summer Schedule: Avg. 10 hrs/week (flexible, coordinated with Principal)
