Position Description

The Executive Assistant will provide high-level administrative and personal support to the Lead Pastors.

  • Location: Kingdom House Christian Centre - Brampton
  • Position Type: Full-Time

Over-Arching Expectations:

  • Manage the Lead Pastor’s calendars, including scheduling meetings, appointments, and travel.
  • Act as a gatekeeper, filtering communications, prioritizing urgent requests, and managing correspondence.
  • Prepare and organize materials for meetings, including agendas, briefing documents, and reports.
  • Draft and proofread emails, presentations, and internal communications.
  • Coordinate follow-up on action items from meetings.
  • Attend meetings to take detailed minutes, track follow-up tasks, and ensure execution of key decisions.
  • Assist with key projects, including research, data analysis, and preparing reports for presentations.
  • Coordinate with cross-functional teams to facilitate the smooth execution of high-priority initiatives and ministries.
  • Arrange travel plans, including flights, accommodations, and transportation.
  • Handle last-minute changes, resolving issues with logistics or scheduling as needed.
  • Plan and organize meetings, including venue selection, catering, technology setup, and materials distribution.
  • Assist with coordinating events, personal scheduling, errands, and appointments as requested by the Pastors.
  • Maintain professionalism in all interactions by handling sensitive information with utmost confidentiality.

Qualifications:

  • Proven experience as an Executive Assistant, Personal Assistant, or in a similar role
  • Excellent organizational and time-management skills with the ability to prioritize tasks.
  • Strong proficiency in Google Suite, and MS Office Suite (Word, Excel, PowerPoint, Outlook), and with virtual communication tools (e.g., Zoom, Teams).
  • Exceptional written and verbal communication skills.
  • Discretion and integrity in managing confidential information.
  • Ability to adapt to changing priorities in a fast-paced environment.
  • Church Ministry experience is an asset.

Reporting Relationships:

The Executive Assistant will report directly to the Lead Pastors
