About the Role

As the Registrar and Customer Service Coordinator, you will be the first point of contact for many Plan to Protect® customers. You will ensure that our clients are directed to the correct department and staff member, and you will register clients for events and training. You will ensure data accuracy and provide excellent customer service when individuals purchase our resources. The ideal candidate will possess excellent customer service skills, attention to detail, and be able to work independently as well as part of a team.

  • Location: In person, Stouffville office
  • Employment status: 37.5 hours a week (Monday – Friday 9:00-5:00 pm)

Role Requirements

  • Show pride and ownership in the vision and mission of Plan to Protect by promoting safe spaces for vulnerable people.
  • Gain a detailed knowledge of our best practices of safeguarding and be prepared to share them with clients.
  • Champion our services and resources.
  • Show proficiency in working with technologies such as Google Workspace, Microsoft Office, and Salesforce (or other CRM).
  • Able to adapt and quickly become proficient in new technologies.
  • Demonstrate strong English verbal and written communication skills.
  • High attention to detail and strong organizational skills.
  • Experience working in a fast-paced environment.
  • Minimum of 2 years of experience in administration and customer service.
  • An understanding of the volunteer, not-for-profit and faith sectors is an asset.

Role & Responsibilities

Registrar

  • Register clients for training courses and company events.
  • Secure payments from event and course registrants.
  • Ensure that training courses and events registrants can onboard and access the service successfully.
  • Help registrants retrieve passwords and access online training, as required.
  • Provide timely reports of registration numbers for upcoming events.
  • Ensure that training records are captured correctly in Salesforce.
  • Recommend training options and solutions to prospective clients.
  • Provide support to the Training and Membership teams.

Customer Service Agent

  • Answer reception phone calls and redirect them to the appropriate department or person. When possible, respond to simple questions.
  • Process orders for store resources, including the order desk and shipping and handling.

Administrative Support

  • Responsible for preparing and sending out new member welcome letters (digital) and member packages to be shipped.
  • Responsible for preparing and sending out member renewal letters.
  • Responsible for printing and sending out training certificates with completion letters.
  • Data entry from intake calls, form submissions, and email inquiries.

Other

  • Other duties as assigned.

Accountabilities

  • Meet customer service standards.
  • 95% accuracy with data entry and member welcome & renewal letters.

Relationships

  • You report to the Interim Program Lead of Training.
  • You will work closely with our small staff team.
