Position Description
The Church Administrator provides high-trust operational and financial administration for a multi-campus church. This role supports healthy governance, stewardship, and day-to-day ministry execution by overseeing office administration, accounting, and systems support. The Church Administrator works closely with the lead pastor, elders, directors, and other ministry leaders to ensure compliant, efficient, and well-documented operations across both church locations.

- Hours: Up to 37 hours per week
- Location: 1991 South Millway, Mississauga, ON, L5L 1R4 and 504 Mud Street West, Grassie, ON, L0R 1M0: Depending on the Applicant, the primary site is flexible.
- Reporting To: Lead Pastor
- Targeted Start Date: March 2026
Key Responsibilities:
Serve as the primary administrator for church operations across two campuses; travel to the second campus as required (to be discussed with the primary location with remote work possibility based on background and experience)
- Manage office administration, including timely correspondence, confidential recordkeeping, filing, and document controls
- Maintain calendars, oversee scheduling, and perform weekly follow-ups ,including sending reminders, distributing updates, and tracking action items needing to be completed
- Act as Recording Secretary for Board of Directors meetings and Annual General Meetings: preparing agendas alongside leadership, recording accurate minutes, maintaining resolutions and motions, and managing secure archiving
- Acting as Bookkeeper for both church campuses, compliant with the CRA. This includes acting as the financial liaison with third party accounting firm
- Maintain management protocols and CRM to monitor property and parking rentals, issue credit card statements, maintain vehicle records, and other tenant information
- Maintain a consistent professional, welcoming office demeanor and communication standards for congregants, visitors, tenants, and ministry partners
Required Qualifications and Experience:
- Demonstrated expertise in [church] administration, including multi-ministry coordination and confidential pastoral/operational support
- Accounting and bookkeeping experience, including accounts payable (A/P), accounts receivable (A/R) and bank reconciliations
- Hands-on experience with tithing or other payment processing software, charitable receipting and donor statement preparation with related CRA compliance experience
- Proficiency working with QuickBooks for processing journal entries, payables, expenses, and reporting (QuickBooks online experience preferred)
- Experienced working with web-based services and cloud tools (e.g., document sharing, online forms, digital signatures, video meeting platforms)
- Proficient with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Google Drive, Google Docs, Google Sheets), and comfortable working with Microsoft Windows and Apple iOS tools and related software
- Motivated self-starter with the ability to work independently, prioritizing competing deadlines and handling time-sensitive tasks with care, accuracy, and discretion
- Provide your own mode of reliable transportation
- Able to pass a criminal background and vulnerable sector check
Preferred Experience and Background:
- Familiar with the Canadian National Baptist Convention, Send Network, and related aspects of our network affiliations
- Currently in good standing with the local church (membership) and open to transferring membership to The Mill Christian Fellowship or Grace Community Church campus
