ABOUT THE ROLE
We are seeking an Office Administrator who is passionate about ministry, customer service and is detail oriented. The position is an in office position, Monday to Friday, 9:00am to 3:00pm.
The successful candidate will be responsible for a variety of administrative tasks, including bookkeeping, donor data management and contributing to a culture of outstanding donor care.
RESPONSIBILITIES
Administrative Tasks
- Provide outstanding customer service to donors and stakeholders, including greeting guests who arrive at the office, answering phones, sending and responding to emails and accepting & arranging deliveries.
- Actively contribute to a culture of donor care by helping with stewardship activities as needed (gratitude cards, phone calls, emails, etc.).
- Manage day-to-day operations of the office, including ordering supplies, maintaining a tidy office and light cleaning duties.
- General office organization, including keeping documents and records organized.
- Support organizational fundraising efforts, including assisting with direct mail fundraising processes, designing, ordering and mailing out promotional materials and assisting with local events and functions.
- Support all administrative tasks with the Child Scholarship program, including preparing and sending reports to sponsors, building relationships with sponsors, updating sponsor information as necessary.
- Assist Executive Director and Director of Operations with administrative tasks, reporting and special projects.
Bookkeeping & Donor Data Management
- Responsible for accurate maintenance of the donor database for new and existing donors.
- Enter all donations into the donor database from mail, online, and special events.
- Prepare and drop off weekly bank deposits, including more frequent deposits following special events.
- Maintain monthly giving donations and update as required.
- Prepare office monthly expense reports, including reconciling credit card and bank statements with our donor database.
Qualifications & Experience Required
- Applicants must be legally eligible to work in Canada.
- Experience in customer service and administrative work
- Post-secondary education or relevant work experience
- Must be proficient in Google Workspace, Microsoft Office and Canva
- High attention to detail and strong organizational skills
- Excellent time-management skills and ability to multi-task and prioritize work
- Self-motivated, outgoing, flexible and adaptable
- Willing to work as part of a team
- Exceptional written and verbal skills
- Some understanding of donor databases, donor stewardship and/or non-profit environment preferred
- Website development experience is an asset
Additional Information
Based in our office at 240-1695 Henderson Hwy in Winnipeg, Manitoba
Work Hours: Monday to Friday, 9:00 am to 3:00 pm, 30 hours per week (30 min paid lunch), with occasional evenings and weekends for special events (time off in lieu of extra time worked)
