Position Description
OneBook believes that people around the world will be forever changed by engaging with the Bible in the language of their heart. A member of Wycliffe Global Alliance, OneBook partners with national Bible translation organizations in Africa and Asia that facilitate locally led and staffed language projects. The OneBook model is built upon partnership with, and the empowerment and equipping of, local people, where possible, to carry out translation and literacy work in their own communities. This approach strives to preserve and honour the cultural and contextual aspects inherent within these indigenous language groups. OneBook advocates for these communities, inviting Canadians to be a part of introducing them to the life changing Word of God.
Currently, OneBook is engaged in ongoing projects serving 30 language communities in seven countries across Africa and Asia. Since inception in 2009, project teams have dedicated the New Testament or complete Bibles in 66 minority languages, with 8 more Bibles in the publishing phase.
OneBook is seeking a Senior Administrative Specialist to join our team. In this role, you will play a crucial part in providing comprehensive administrative support for the development team.
Position Summary:
The Senior Administrative Specialist plays a vital role in advancing OneBook’s mission by providing high-level administrative coordination and support for fundraising initiatives and advocacy efforts. The ideal candidate is relational, highly organized, spiritually mature, and passionate about Christian ministry.
- Location: Remote, with preference given to candidates located in Calgary, AB
- Job Type: 4 days/week (0.8 FTE)

- Travel: Occasional travel across Canada ~15 days per year
Key Responsibilities:
Development Team Support:
- Support the team in the cultivation, solicitation and stewardship of individual, foundation, corporate, and church donors.
- Coordinate grant applications and proposals, donor reports, letters of inquiry, impact reports, and other correspondence as requested.
- Maintain donor database (DonorPerfect) and ensure accurate record-keeping
- Coordinate Development Team meetings
- Coordinate the creation of marketing pieces and videos for the development team
- Compile materials for events and presentations.
- Monitor follow-up needed, proposal deadlines and other interactions with major donors.
- Support donor stewardship events and church presentations
- Research potential grant opportunities from organizations that align with the mission and values of OneBook.
- Answer phone calls for general inquiries.
- Assist in the coordination of staff retreats or other meeting logistics.
Advocacy Program Support:
- Coordinate OneBook’s Advocacy Program. This is a new program that OneBook is launching, so part of this role would be to grow, update and refine the program as we learn and grow.
- Coordinate advocacy materials (print, digital, and social media)
- Equip advocates with resources and training to promote OneBook
- Act as an advocate for OneBook, representing and promoting the mission
The Ideal Candidate:
- Able to sign and abide by OneBook’s statement of faith and OneBook’s lifestyle and morality statement, sharing OneBook’s belief that people around the world will be forever changed by engaging with the Bible in the language of the heart, and that national organizations are best equipped to carry out Bible translation ministry.
- A proactive and versatile individual with a go-getter attitude, who enjoys wearing multiple hats and handling diverse responsibilities based on organizational needs.
- Strong comfort level with digital tools, donor databases (CRM), and online communication platforms; able to quickly learn and adapt to new technologies.
- Superior interpersonal and communications skills, in different formats (phone, email, Zoom and in person), with a positive attitude and patient understanding.
- Ability and willingness to travel to events and staff retreats around Canada.
- Ability to work independently, adjusting priorities based on the team, and meeting deadlines.
- Attention to detail, and well organized.
Knowledge & Experience:
- Post-secondary degree or diploma in administration, marketing, and/or related field, or equivalent education and experience.
- 3-5 years in an administrative or similar role.
- Understanding of CRM/database management and data tracking/reporting.
- Excellent organizational abilities.
- High attention to detail with strong proofreading and quality control skills.
- A proactive, resourceful mindset with the ability to anticipate needs and take initiative.
- Excellent oral and written communication skills. Must possess the ability to effectively communicate both withing and outside the organization.
- Strong knowledge of MS Word, Power Point and Excel, etc
- Nice-to-have skills and abilities:
- Experience recruiting, training, and coordinating volunteers
- Experience in fundraising and marketing
- Digital design skills, preferably using Canva, Affinity or Adobe Creative Suite
- Video production and editing experience.
- Photography experience.
- Experience working with or volunteering for a church or Christian Organization
