Part-Time HR Administrator

Pickering Christian School (PCS) is seeking a capable, approachable, and highly organized HR Administrator to support our employees and strengthen the school's human resources and payroll practices.

About the Role
Reporting to the Principal/COO and working closely with the Finance Director and school leadership, the HR Administrator will coordinate day-to-day human resources administration and process the school's semi-monthly payroll. The position does not report to the Board; however, it has a functional responsibility to support the Board's policy-governance and fiduciary oversight by confirming that HR policies align with Board-approved school policies and by communicating material HR concerns through appropriate governance channels when necessary. This is a year-round, on-site position for 20 hours per week. The number of days worked each week may be flexible, provided the schedule supports payroll deadlines, employee needs, and school operations.
Key Responsibilities
Human Resources Policies & Employee Support
- Review, develop, update, and help implement employee policies and procedures in alignment with applicable Ontario legislation and school practices.
- Maintain and update the employee handbook, forms, templates, and related HR documentation.
- Support the Board's governance oversight by reviewing HR policies for alignment with Board-approved school policies and, where necessary, communicating material concerns through the Principal/COO or directly to designated Board representatives in accordance with established protocols.
- Serve as an accessible and confidential first point of contact for employees seeking guidance on workplace and HR matters, escalating issues appropriately.
- Support employee performance review processes, follow-up documentation, and staff communications.
- Maintain accurate, organized, and confidential employee records.
Recruitment, Hiring & Onboarding
- Assist with drafting and posting job opportunities, coordinating applications, scheduling interviews, and supporting candidate communication.
- Provide administrative support throughout the hiring process, including offers, contracts, reference and background-check documentation, and new-hire files.
- Coordinate employee onboarding and offboarding, including benefits and pension enrolment, required forms, orientation documentation, and records updates.
Payroll & Benefits Administration
- Accurately process semi-monthly payroll, including employee changes, deductions, taxable benefits, pension contributions, and required remittances.
- Support the Finance Director with payroll reconciliation and year-end requirements, including T4s and Records of Employment (ROEs).
- Liaise with payroll, benefits, and pension providers and help administer employee enrolments and changes.
Qualifications & Experience
We are looking for someone with:
- Post-secondary education in human resources, business administration, payroll, or a related field; an HR or payroll designation is an asset.
- At least three years of relevant HR administration and payroll experience; experience in a school or not-for-profit setting is an asset.
- Demonstrated knowledge of Ontario employment standards, human rights, workplace health and safety, privacy, and other relevant employment requirements.
- Experience processing payroll and administering benefits and pension plans; familiarity with payroll software and year-end payroll reporting is strongly preferred.
- Excellent interpersonal, written communication, organization, and record-management skills.
- Sound judgment, discretion, and the ability to manage sensitive and confidential information with care.
- Strong attention to detail, comfort working independently, and the ability to manage recurring deadlines.
- Proficiency with Google Workspace and/or Microsoft Office applications.
- Experience using the Humi/Employment Hero HR information system is an asset.
- A vibrant Christian faith and active involvement in an evangelical church, with values aligned to the mission and culture of PCS.
